Mansfield Services trucks on a job in Vermont
Start Here

The short version

We’re a family-owned cleaning company in Underhill, Vermont. We collect what we need to quote your job, show up at the right house, do the work, get paid, and stay in touch about it. We don’t sell your personal information, and we never share your phone number or your text-message opt-in for anyone’s marketing.

This policy covers Mansfield Services LLC — our website at mansfieldservicesvt.com, our booking and quote forms, our landing pages, our customer app, email and text messages we send you, and phone calls to and from our office. “We,” “us” and “our” mean Mansfield Services LLC. “You” means anybody who visits the site, asks for a quote, or books a service.

If you’d rather just ask a person, email info@mansfieldservicesvt.com or call or text (802) 444-8182. A real person in Underhill will answer.

The Information Itself

What we collect

What you type into a form or tell us on the phone

In short: your name, how to reach you, where the work is, and what you want done.

When you ask for a quote, book a service, or get in touch, we collect what you give us. That is normally your name, phone number, email address, the service address including apartment or unit, which services you’re interested in, the day and time window you’d prefer, and anything you add in a notes field. On some pages we also ask a detail that affects the price — how many indoor heads your mini splits have, for example, or whether you already have gutter guards.

We ask for what the quote actually needs. Nothing on our forms is required except the fields marked required.

Payments and your card

In short: Stripe handles your card. We never see the full number.

Card payments are handled by our payment processor, Stripe. Your card details go to Stripe, not to us. We never see or store a full card number.

What we keep is the card type and the last four digits, and nothing else — just enough for you to recognize which card is on file. We also keep the record of what you were charged and what it was for, which we need for our books and for warranty questions later.

We only charge a saved card for work you booked or approved. We don’t charge it for anything else.

Stripe handles your card details under its own privacy policy, which you can read at stripe.com/privacy.

Please don’t email or text us a full card number. If you’ve been asked for payment details in a way that feels off, call the office on (802) 444-8182 and check with us first.

Photos of your property

In short: we take before-and-after photos of the work, and how we’re allowed to use them is covered in our terms.

Our crews photograph the areas they work on. Those photos are part of the job record — they’re how we settle a question about what a surface looked like before we arrived. Whether and how we may use them publicly is set out under Photos & videos on our terms and conditions page, not here.

If a photo of your property is up somewhere and you want it down, email info@mansfieldservicesvt.com and we’ll take it down.

What we don’t collect

In short: no Social Security numbers, no health information, and nothing from children.

We don’t ask for and don’t want government ID numbers, Social Security numbers, health or medical information, racial or ethnic background, religion, political views, sexual orientation, union membership, biometrics or genetic data. If you send us something like that unprompted, we delete it.

Our website has no customer logins. Our app does — what an account holds and who can see it is in Your account in our app.

How It Reaches Us

Where it comes from

Collected automatically when you visit

In short: the technical stuff every website sees, plus which ad or search brought you here.

When you visit the site we automatically receive your IP address, your browser and device type, your operating system, your language setting, the page you came from, which pages you looked at and when, and roughly where you are based on that IP address. On its own this doesn’t tell us who you are.

If you arrived from one of our Google ads, the click carries an identifier — Google calls these gclid, gbraid and wbraid — and we keep it with your quote request so we can tell which ads are actually producing work. It’s an ad identifier, not a name.

From other sources

In short: mostly our own records and the platforms we advertise on.

We may also get information about you from our booking and scheduling system, from our advertising and analytics platforms in aggregate form, from a review you left on Google, from a referral if a neighbor gave us your name with your say-so, and from a subcontractor who performed part of your service.

Unlike the policy this page replaces, we do not buy contact lists, we don’t pull from public databases or data brokers, and we don’t scrape social profiles to build a picture of you.

Purposes

What we use it for

Doing the job you asked for

In short: quoting, scheduling, showing up, doing the work, and getting paid.

We use your information to price your job, confirm the details, route a crew to the right address, perform the service, handle payment, deal with a warranty or re-clean request, and keep a record of what was done in case it comes up later.

Talking to you about your service

In short: confirmations, reminders, crew-on-the-way messages, invoices, and answers to your questions.

These are service messages, not marketing. You get them because you booked something or asked us something. They come by email, text or phone depending on what you gave us and what you agreed to.

Marketing, and how we keep it honest

In short: seasonal reminders and offers by email if you want them, and ads that try not to waste your time or our money.

If you’ve opted in, we may email you about seasonal services, promotions and reminders. Every one of those has an unsubscribe link and we honor it.

We also advertise, mostly on Google. We use information about which ads and pages lead to real quote requests to spend our advertising money better, and to avoid showing ads for a service to somebody who already bought it from us. How that works, and what leaves our hands to make it work, is in Who we share it with.

Running and improving the business

In short: fixing the website, training our crews, spotting fraud, and meeting our legal obligations.

We look at how the site is used to find what’s broken and what’s confusing. We use job records to train and supervise. We use what we have to prevent and investigate fraud or abuse, to protect our customers, our crews and the business, and to comply with tax, accounting, insurance and other legal requirements, including responding to a lawful request from a court or a regulator.

What we don’t use it for

In short: we don’t sell it, and we don’t feed it to AI training.

We do not sell your personal information, and we don’t trade it for anything of value.

We do not collect, use or sell your personal information to train large language models or other artificial intelligence models.

We don’t use your information to make automated decisions that have a legal or similarly significant effect on you. A person sets your price and a person schedules your job.

Third Parties

Who we share it with

Service providers and advertising partners

We may share contact information such as your name, email address and zip code with service providers, including advertising platforms like Google, to perform services on our behalf — for example, to measure our ads or to avoid showing ads to existing customers. Mobile information and text messaging opt-in data are never shared for marketing purposes.

In practice that means a small amount of contact information can be matched against an advertising platform’s own records so the platform can tell us a quote request came from a particular ad, or so it can leave you out of a campaign you shouldn’t be seeing. The platform acts on our instructions for that purpose. We don’t hand over your notes, your service history, or what you paid.

Your phone number and text opt-in — the hard line

In short: never shared or sold for anyone’s marketing, including ours by proxy.

No mobile information is shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

The people and companies that help us operate

In short: the systems we run the business on, and the subcontractors who do some of the work.

We share what’s needed with the companies that run our booking and scheduling, our email and text messaging, our payment processing, our website hosting, our phone system, and our accounting. They only get what they need for that job, they work on our instructions, and they’re not allowed to use your information for their own marketing.

Some services are performed by 1099 subcontractors working under the Mansfield Services name. How much they get depends on the job. Most of the time it is only your first name, last initial and the address — that is all our app shows a crew. When somebody needs to reach you directly on the day, the office also passes on your phone number. They are sent what the job needs and nothing past it, and they are not allowed to use any of it for their own marketing.

Maps and address lookup

In short: when you type an address into our form, Google helps complete it.

Our forms use Google Maps Platform services, including the Places API, to suggest and confirm addresses as you type, so a crew doesn’t end up at the wrong house. That means what you type into the address field goes to Google to return suggestions. Google’s handling of it is covered by the Google Privacy Policy.

When the law requires it, and if the business changes hands

In short: a valid legal demand, or a sale of the company.

We’ll disclose information where we’re legally required to, to respond to a subpoena, court order or other lawful request, to establish or defend legal claims, or where we believe in good faith it’s necessary to prevent harm to somebody.

If the business is sold, merged, refinanced or reorganized, customer information may transfer as part of that. Whoever ends up with it is bound by this policy until you’re told otherwise.

SMS

Text messages

What you’re agreeing to, and how to stop

In short: you opt in, we text you about your job, reply STOP and it stops.

If you give us your mobile number and opt in, we may text you about your quote, your appointment, a crew on the way, and payment. Message frequency varies. Message and data rates may apply.

Reply STOP to any message to opt out, or HELP for help. You can also just call the office on (802) 444-8182 and ask us to stop texting you. Opting out of texts doesn’t cancel your appointment — we’ll reach you another way.

Consent to receive texts is never a condition of getting a quote or booking a service.

Your opt-in never leaves us

No mobile information is shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

The Phone

Phone calls

Call tracking numbers

In short: the number shown on our site can change depending on how you got here, so we know which ads work.

We use a call tracking service. It may show a different phone number on the website depending on how you arrived, and it records the number you called from, the time and length of the call, and which page or ad sent you. It all rings the same office.

Your phone number arriving this way is treated the same as a number you type into a form, and the hard line in Who we share it with applies to it.

The Customer App

Your account in our app

What an account holds

In short: your jobs, your paperwork and the photos from your visits, in one place.

You can have an account in our app so you can see your visits, estimates, invoices, receipts and photos of your job without having to call and ask.

What we keep in an account: your name, address, phone number and email address; your service history; notes about the home that we need in order to do the job, like where the gate key is or which side the dryer vent comes out; photos taken on visits; and your payment records.

An account is optional. You can book and be a customer without one.

Who can see it

In short: the office sees your account. Crews are sent as little as the job allows.

Our office staff can see your account, because they are the people who schedule your work, answer your questions and sort out your invoice.

Crews and subcontractors do not get your account. They are sent only what the job needs. In the app that is your first name, last initial and the job address. When somebody needs to reach you directly on the day, the office also passes on your phone number. That is the ceiling — they never get your service history, your notes, your payment records or your email address.

Nobody outside Mansfield Services and the providers listed in Who we share it with has access to your account.

Deleting your account

In short: delete it in the app, or email us and we’ll do it.

You can delete your account from inside the app at any time. You can also email info@mansfieldservicesvt.com and ask us to delete it, and we will.

When an account is deleted we remove the login and the personal details attached to it.

We keep invoices, receipts and payment records for as long as the law requires us to for tax and accounting purposes, and then we remove those too. That is the one thing a deletion request cannot take with it, and it is not a choice we have — a business has to be able to show what it was paid and when.

Tracking Technologies

Cookies, analytics & ads

Cookies and similar technologies

In short: small files and tags that keep the site working and tell us what’s working.

We use cookies, pixels, tags and similar technologies, some set by us and some by the providers below. Some are necessary to make the site and the forms work at all. The rest are there for measurement and advertising.

Most browsers accept cookies by default and let you change that in settings. If you block or clear them, parts of the site may not behave properly. Browser instructions: Chrome, Safari, Firefox, Edge.

Google — analytics, ads and tag manager

In short: how many people visit, which pages they use, and which ads bring us real work.

We use Google Tag Manager to load our tags, Google Analytics to understand how the site is used, and Google Ads to advertise and to measure which clicks turn into quote requests. When a form is submitted we may send Google a conversion event, and with it a small amount of contact information in a protected form so Google can confirm the match — that is the ad measurement described in Who we share it with.

Google’s handling of this is covered by the Google Privacy Policy. You can turn off personalized Google advertising in My Ad Center, and opt out of Analytics with Google’s browser add-on.

Microsoft Clarity and Microsoft Advertising

In short: this one records how you move around the page, so you should know about it.

We partner with Microsoft Clarity and Microsoft Advertising to capture how you use and interact with our website through behavioral metrics, heatmaps and session replay, to improve and market our services. That means your clicks, scrolling, mouse movement and the pages you visit can be played back as a session recording. Website usage data is captured using first and third-party cookies and other tracking technologies to determine the popularity of services and online activity. We also use this information for site optimization, fraud and security purposes, and advertising.

For more about how Microsoft collects and uses this data, see the Microsoft Privacy Statement.

Reviews, maps and the call tracker

In short: three more providers, each doing one visible job.

Our reviews section is populated by a widget that pulls our public Google reviews. It displays what reviewers chose to publish on Google; it does not publish anything you gave us privately.

Google Maps Platform powers the address suggestions in our forms, as described in Who we share it with.

Our call tracking service sets a cookie so it can connect the number you called to the page or ad you came from. See Phone calls.

Do Not Track

In short: there’s still no standard for it, so we don’t act on it.

Some browsers can send a Do-Not-Track signal. No uniform standard for honoring it has been settled, so we don’t currently respond to DNT signals. If a standard is adopted that applies to us, we’ll say so here. The opt-outs listed above do work today.

Retention & Security

How long we keep it, and how it’s protected

How long we keep it

In short: as long as the job, the warranty and our books need it, then we get rid of it.

We keep customer and job records while you’re a customer and for as long afterward as we need them for warranty questions, disputes, insurance, and tax and accounting requirements. Quote requests that never became a job are kept for a limited period while there’s still a realistic chance you’ll book, then removed.

When there’s no longer a legitimate business or legal reason to keep something, we delete it or strip it of anything identifying. Where that isn’t possible — a backup archive, for example — we store it securely and leave it alone until deletion is possible.

How it’s protected

In short: reasonable safeguards, honestly described. Nobody can promise perfect.

The site is served over an encrypted connection. We limit who on our team can see customer information to the people who need it, and we rely on established providers for booking, payment and messaging rather than building our own.

No transmission over the internet and no method of storage is completely secure. We can’t guarantee that someone determined enough won’t defeat our safeguards, and we’d rather say that plainly than imply otherwise.

Your Choices

Your choices and rights

Opting out

In short: one link, one word, or one phone call.

Marketing email: click unsubscribe in any message, or email us. Texts: reply STOP. Phone: tell us and we’ll note it. Ads: use the Google and Microsoft controls in Cookies, analytics & ads.

Opting out of marketing doesn’t stop service messages about a job you’ve actually booked. Those keep coming until the job is done.

Vermont residents

In short: ask us for anything on this list and we’ll do it, whether or not a law makes us.

Vermont’s consumer data privacy law takes effect in 2028 and applies to businesses far larger than ours — its thresholds start at 35,000 Vermont consumers. We’re a local cleaning company and nowhere near that, so it doesn’t currently apply to us.

We’d rather not hide behind that. Ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, or ask us to stop using it for advertising, and we’ll handle it the same way a covered business would have to. See See, change or delete it.

California residents

In short: the Shine the Light request and the under-18 takedown right.

California Civil Code Section 1798.83, the “Shine The Light” law, lets California residents request, once a year and free of charge, information about the categories of personal information we disclosed to third parties for their direct marketing purposes, and the names and addresses of those third parties. To make that request, write to us at the address in See, change or delete it.

If you are under 18, live in California, and have publicly posted content on our site, you can ask us to remove it. Email us with the request and a statement that you live in California. We’ll take it down, though copies may remain in backups.

The CCPA and CPRA apply to businesses above thresholds we don’t meet — $25 million in revenue, 100,000 consumers or households, or half of revenue from selling personal information. We don’t sell personal information at all.

Children

In short: not for under-13s, and we don’t knowingly collect from them.

Our services and our app are meant for homeowners and property managers, not for children. They are not directed at children under 13, and we do not knowingly collect personal information from anyone under 13.

If we learn that we have collected information from a child under 13, we delete it. If you believe a child has given us information, email info@mansfieldservicesvt.com and we’ll take care of it.

If you think we got something wrong

In short: tell us, and if we say no you can ask us to look again.

Email info@mansfieldservicesvt.com and say what’s wrong. We’ll answer within 45 days. If we turn a request down we’ll tell you why, and you can reply and ask us to reconsider; we’ll give you an answer on that within 60 days.

We won’t charge you more, give you worse service, or refuse to work with you because you exercised any of this.

Get In Touch

See, change or delete it

How to ask

In short: email us, and say what you want done.

To see what we hold about you, correct it, or have it deleted, email info@mansfieldservicesvt.com from the address you gave us, or write to the postal address below. Tell us your name, the service address, and what you’d like us to do.

We may need to confirm it’s really you before we hand over or delete anything, which usually means a quick question only you’d know the answer to.

Some things we have to keep even after a deletion request — a paid invoice, for instance, which tax rules require us to hold on to. We’ll tell you what we kept and why.

If you have an account in our app, you can delete it yourself from inside the app. See Deleting your account.

Changes to this policy

In short: we’ll update the date at the top, and tell you directly if it’s a big change.

We may update this policy as our business or the law changes. The version here is always the current one, and the “last updated” date at the top of the page tells you when it last changed. If we make a change that materially affects how we handle your information, we’ll post a notice on the site or contact you.

Last updated: October 2026. This policy replaces the version dated July 7, 2024.

The bolded “In short” line at the top of each section is a plain-English summary written to make this page readable. Where a summary and the full wording underneath differ, the full wording applies.
